What Documents Do You Need to File Taxes in Florida?

🇪🇸 Leer en Español

Walking into your tax appointment without the right documents is one of the most common mistakes people make during tax season. It leads to incomplete returns, missed deductions, and return trips that waste your time. Whether you're filing a simple W-2 return or a complex business filing, this checklist covers everything you need to bring to your tax preparation appointment in Florida.

Documents Everyone Needs

Regardless of your employment type or filing situation, you'll need these basics:

  • Government-issued photo ID (driver's license, state ID, or passport)
  • Social Security cards (or ITIN letters) for yourself, your spouse, and all dependents
  • Last year's tax return — this helps your preparer verify information and carry forward relevant data
  • Bank account and routing numbers for direct deposit of your refund

Income Documents

Bring every document that shows income you received during the tax year:

For Employees

  • W-2 forms from every employer you worked for during the year
  • W-2G for gambling or lottery winnings

For Freelancers & Independent Contractors

  • 1099-NEC from clients who paid you $600 or more
  • 1099-K from payment processors (PayPal, Venmo, Square, etc.)
  • Records of all business income — even if you didn't receive a 1099

Other Income Sources

  • 1099-INT for bank interest
  • 1099-DIV for stock dividends
  • 1099-B for stock or crypto sales
  • 1099-R for retirement account distributions
  • 1099-G for unemployment compensation
  • SSA-1099 for Social Security benefits
  • Rental income records if you own rental property

Deduction & Credit Documents

These documents can reduce what you owe or increase your refund. Don't leave money on the table:

  • 1098 — Mortgage interest statement from your lender
  • Property tax records for homes you own
  • Charitable donation receipts (cash and non-cash donations)
  • Medical expense records (especially if they exceed 7.5% of your income)
  • 1098-T — Tuition statement for education credits
  • 1098-E — Student loan interest paid during the year
  • Childcare expenses including the provider's name, address, and tax ID
  • 1095-A — Health Insurance Marketplace statement (if applicable)

Self-Employed & Business Owner Documents

If you're self-employed, a freelancer, a gig worker, or a small business owner in Palm Beach County, you'll need additional documentation to claim all your deductions:

  • Business expense records — receipts, invoices, and bank statements
  • Vehicle mileage log if you drive for business
  • Home office measurements (square footage of your office vs. total home)
  • Equipment and supply purchases
  • Health insurance premiums you paid yourself (deductible for self-employed)
  • Estimated tax payment records (Form 1040-ES payments made during the year)
  • Business licenses and permits
Pro Tip: If you're self-employed and didn't track your expenses throughout the year, bring your business bank and credit card statements. Your tax preparer can help identify deductible expenses from your transaction history.

Florida-Specific Notes

Here's the good news: Florida has no state income tax. That means you only need to file a federal return — there's no separate state return to worry about. However, if you have income from another state, you may need to file a non-resident return in that state.

Florida businesses do pay a corporate income tax (5.5% on net income over $50,000), so if you operate a C-Corporation in Florida, you'll need to file Form F-1120 with the Florida Department of Revenue.

A Quick Note About ITINs

If you don't have a Social Security Number, you can still file taxes with an Individual Taxpayer Identification Number (ITIN). Bring your ITIN assignment letter in place of a Social Security card. If your ITIN has expired, it needs to be renewed before filing — contact us and we'll handle the renewal alongside your tax return.
